How to Obtain a Certified Copy of a Record of Landing IMM 1000 or Confirmation of Permanent Resident IMM 5292


This application is for permanent residents of Canada (landed immigrants) who wish to obtain a replacement of their lost, stolen, or damaged immigration landing document (IMM 1000 or IMM 5292).

> What is a Record of Landing or Confirmation of Permanent Residence?

The Record of Landing or Confirmation of Permanent Residence is a historical document that contains your personal information (name, date of birth, country of birth, etc.) that was relevant at the time you became a permanent resident of Canada. This information cannot be changed at a later date. For information on amending a Record of Landing, please refer to the section below.

To be eligible for a certified copy of your Record of Landing IMM 1000 or Confirmation of Permanent Residence IMM 5292, you must:

  • be a permanent resident of Canada or be a naturalized Canadian citizen who once was a permanent resident.

What is a Record of Landing or Confirmation of Permanent Residence?

A Record of Landing or Confirmation of Permanent Residence is a document issued by the Government of Canada that contains historical documentation of you at the time you received permanent resident status in Canada.


What is the Request to Amend the Record of Landing or Confirmation of Permanent Residence? Who Should Use It?

The Request to Amend the Record of Landing or Confirmation of Permanent Residence is used for Canadian citizens and/or those who hold permanent residence status in Canada where errors were made by Citizenship and Immigration Canada concerning their personal information on their Record of Landing or Confirmation of Permanent Residence. Those who have errors on one of these documents are required to fill out this form (IMM 1436) to correct them. However, changes will not be made to these documents if the change relates to changes in your civil status situation.


What Information Can I Correct?

The following errors in information made on your Record of Landing or your Confirmation of Permanent Residence can be corrected :

  • Family Name
  • Date of Landing
  • Citizenship
  • Country of Birth
  • Marital Status
  • Place of Birth
  • Given Name
  • Sex
  • Date of Birth
  • Date of Original Entry


What Information Cannot be Corrected?

Some information on your Record of Landing or your Confirmation of Permanent Residence cannot be corrected. This information that cannot be corrected includes :

  • Legal name change
  • Changes to your name due to marriage or divorce

These changes cannot be made by the IMM 1436 (Request to Amend the Record of Landing or Confirmation of Permanent Residence) form, but should be directed to the Registrar General of the appropriate province or territory.


What Documents Do I Need to Include in My Application?


The following documents are required to complete your application to amend your Record of Landing or Confirmation of Permanent Residence. If any of these documents are not included, your application will not be processed, and will be returned to you.

  • A completed application form entitled, “Request to Amend the Record of Landing or Confirmation of Permanent Residence” or Form IMM 1436.
  • Your original Record of Landing or Confirmation of Permanent Residence that contains the errors.
  • A certified photocopy of your passport.
  • Any two or more of the following :

NOTE : These documents must be a certified photocopy of the original. Also, they must have been issued before the date you applied for status as a permanent resident of Canada.

  • Birth Certificate
  • Family Registrar
  • Marriage Certificate
  • School Record
  • Baptismal Certificate
  • Family Composition Certificate
  • School Record
  • Driver’s License
  • Identity Card
  • Hospital Record of Birth            

A fee must also be paid before an application can be submitted. This fee can be paid either on-line, or at a financial institution. Please be sure to obtain a receipt of the payment, and include it in your application package.


What if my documents are not in English?

If the documents you are sending with your application are not in English, you must provide a translation and an official declaration from the person who translated the document. Translations provided by family members are not sufficient.


What Is a Certified Photocopy?


Since the documents may not be returned to you, it is easier for you to send a photocopy of the original document. However, this photocopy must be clear, legible, and certified by a valid person. This can include :

  • Professional Accountant
  • Chiropractor
  • Commissioner of Oaths
  • Dentist
  • Professional Engineer
  • Funeral Director
  • Justice of the Peace or Judge
  • Lawyer
  • Manager of a Financial Institution
  • Medical Doctor
  • Member of Parliament
  • Member of a Provincial Legislature
  • Minister of Religion
  • Municipal Clerk
  • Notary
  • Designated Official of a federal/provincial government department
  • Official of a foreign embassy, consulate or high commission officially accredited to Canada and authorized to certify documents issued by the official’s government
  • Pharmacist
  • Police Officer
  • Postmaster
  • Primary, secondary or university professor
  • Social Worker
  • Veterinarian

However, a family member, who holds one of these positions, cannot certify your photocopy.

The certified person must include the following information on the photocopy:

  • Printed name
  • Signature
  • Position or title
  • Name of the Original Document
  • The date they certified the document
  • They must write, “I certify that this is a true copy of the original document.”


What is the Application for a Certified True Copy, Correction or Replacement of an Immigration Document? Who Should Use It?

The Application for a Certified True Copy, Correction or Replacement of an Immigration Document (Form IMM 5541) should be used by applications who require a certified or replacement copy of the documents issued by Canadian Immigration authorities because their document contains errors or has been lost, stolen or destroyed.

Certified true copies or replacement copies of the following documents may be requested by you, through the Application for a Certified True Copy, Correction or Replacement of an Immigration Document (Form IMM 5541) :

  • Immigrant Visa and Record of Landing/Confirmation of Permanent Residence

What if I am Applying for More than One Person?

If you are applying for multiple people, such as family members, please use and mail separate applications for each person.


Who Do I Contact About My Application?

Depending on your entry date into Canada, different addresses are used to process the Application for a Certified True Copy, Correction or Replacement of an Immigration Document (Form IMM 5541).
